Professional signatures display names, titles, logos, websites and sometimes clickable calls to action. Those elements help a recipient recognize the context of an email. They are not a substitute for email authentication, account security or a legally binding document signature.
Three separate security questions
Sender identity: a logo, portrait or “verified” visual badge can be copied into a fraudulent email. Authentication and anti-spoofing require controls beyond the footer, such as the mail domain's SPF, DKIM and DMARC configuration. Recipient safety: each link should point to a domain owned or approved by the organization. Data handling: the email signature provider may host remote images or offer engagement analytics, so review the actual privacy policy and vendor configuration.
What to check in an HTML signature
- Readable text remains when remote images are blocked.
- Links use HTTPS and do not route through unfamiliar shortened domains.
- There is no misleading identity indicator or fake certification claim.
- The chosen design remains legible for mobile and accessibility users.
- Images are hosted by a provider whose retention and availability policy you understand.
- Marketing links and any analytics conform to the organization's privacy policies.

Remote images and analytics deserve careful review
A remote logo is convenient because a centrally hosted asset can be updated, but it can be hidden by a recipient's mail client or become unavailable. A feature described as link analytics may involve processing engagement information; check the actual behavior, lawful basis and available controls with the provider before rollout. A no-tracking-pixel marketing claim does not eliminate every privacy consideration from click tracking or hosted URLs.
What this product does not replace
If you need to sign a contract, request audit trails, or verify legal consent, use a document e-signature solution. If you need phishing protection or authenticated company email, work with your mail administrator. An attractive footer does not solve either problem.
