Use this twelve-point checklist before sharing a signature template with clients or rolling it out across a company. It is intentionally vendor-neutral: most of these principles apply whether you use Gmail, Outlook or a dedicated builder.
Identity and contact information
- Name and role: make it immediately clear who sent the message.
- Company information: use the approved organization name and logo, not an informal variation.
- One reliable contact path: prefer your actual company site or a working booking page.
- Relevant compliance fields: confirm any industry or jurisdiction-specific information with your organization.
Design and accessibility
- Readable text: don't make essential contact data available only as a picture.
- Compact width: open real messages on a phone, not just the designer's preview.
- Clear CTA: prioritize one next step and label it in plain English.
- Images-off fallback: disable remote content and verify that the signature remains useful.
Security and maintenance
